Updating ExamWRITER 10.5.23 and 10.6 for Konan CellChek 1.1.2

Abstract:

If you updated your Konan CellChek equipment interface software to v1.1.2, the patient demographics information from ExamWRITER may not be populating in the Konan software. If you are experiencing this issue, follow the instructions below to resolve the issue:

Note: CellChek v1.1.2 is only compatible with Windows XP 32 bit computers, and is not compatible with Windows Vista, Windows 7, or Windows Server 2008 and above. If you are using CellChek v1.1.2, you must have a wide-screen monitor with a resolution of 1600x900.


Why doesn't the CMS Meaningful Use Reporting window list all objectives?

Abstract:

You may notice that core measures 2, 11, 14, and 15 and menu measures 1, 3, 9, and 10 are not listed on the CMS Meaningful Use Reporting window. This window lists only the percentage-based measures. The remaining measures are simple Yes or No answers on the attestation form.

You will have no trouble completing the attestation form based on the information displayed in the CMS Meaningful Use Reporting window.

Core measure 10 is also not listed. The information required for core measure 10 can be found in the CMS Quality Reporting window.

Selecting a SATO Barcode Printer in OfficeMate

Follow the guidelines below when selecting a SATO barcode printer from which to print barcodes in the Product Setup window (Preferences tab) in OfficeMate:

If you are using a SATO CX400 barcode printer, select Sato CX400.

If you are using OfficeMate v10.5 or below and a SATO CG408TT or CL408e barcode printer, select Sato CX400.

If you are using OfficeMate v10.6 or above and a SATO CG408TT or CL408e barcode printer, select Sato CG408.

If you are using an older SATO CX208 barcode printer, select Sato CX208.

Errors 400, 189183, & 418105 (Secondary Resolution)

If you receive error 400, error 189183, or error 418105 while attempting to print an Rx order or medical Rx order and you cannot resolve the issue using the methods in the knowledge base article at http://www.officemate.net/omkb/article.aspx?id=10763, ask your computer technician to follow the instructions below to output the Rx order to a PDF and then send the PDF to your printer:

Note: You do not need Adobe Reader to complete these instructions.

  1. Go to http://sourceforge.net/projects/pdfcreator/ and download and install PDFCreator.
  2. After the PDFCreator installation completes, open PDF Creator (Start>Programs>PDFCreator>PDFCreator).
  3. Click Printer and select Options.
  4. Click Auto-save on the left side of the window.
  5. Select the Use Auto-save check box.
  6. Type a static filename, for example OMTEMP, in the Filename text box.
    Note: Using a static file name ensures that there will always be no more than one PDF file in the temporary output directory and that you will not need to manually delete files.
  7. Select the Use this directory for auto-save check box.
  8. Navigate to and select a temporary output directory for Rx orders (for example, C:\Documents and Settings\username\Desktop\RxTemp).


  9. Click Print on the left side of the window.
  10. Select the Print after saving check box.
  11. Select Select the default Windows printer without any user interact

How do I delete an insurance payment?

Abstract:

To delete an insurance payment in OfficeMate v9 or below, follow the instructions below:

  1. Click the Receipts icon.
  2. Click the Apply to Insurance tab.
  3. Select an insurance from the Insurance drop-down menu.
  4. Click Display Charges.
  5. Click the History button at the bottom of the window.
  6. Select a receipt and click Select.
  7. Click the Delete button at the bottom of the window to delete the payment.

Caution! Deleting insurance payments will delete unapplied amounts attributed to patients.

If you want to delete insurance balances, adjust each line item so that the balance is $0. For more information on adjusting charges, see the linked article.

If you are using OfficeMate v9.5 or above, you cannot delete previously recorded payments. Instead, you can make adjustments to erroneously recorded payments. The Receipts Journal and several other reports list payment adjustments for audit purposes. Note that adjusting an erroneously recorded payment does not delete any chargebacks.

Abstract:

The Marco, Topcon, Huvitz, Eagle Eye, Reichert, and Humphrey ExamWRITER equipment interfaces save equipment data to the ExamWRITER database, which then can be accessed by all computers networked to look at that database.

Kowa, Optos, EyeScape, EyeTel, Heidelberg/HRT, Talia, ReSeeVit, Woodlyn, Konan, NIDEK, and Zeiss VISUPAC ExamWRITER interfaces save equipment data to the equipment's specific database and ExamWRITER reads those databases through the mapped drives.

All of the equipment data from the equipment interfaces, except the Humphrey Matrix, can be shared and accessed at multiple computers, as long as the computers are networked properly and the databases are properly mapped and shared. How do I change a patient's address on a CMS 1500 Form after creating a claim?

If you modify a patient's address in the Patient Demographic window after you have created an insurance claim for the patient, you must manually refresh the CMS 1500 Form in order to update the patient's address on the claim. To refresh the insurance claim with updated information, select it in the Third Party Processing window and click Refresh.

Abstract: If you need to make changes to an insurance claim after you've already created it in the Third Party Processing window in OfficeMate, simply go back into the appropriate sections in OfficeMate and make the changes that you need to make (like changing the patient's insurance provider) and then select the insurance claim in the Third Party Processing window and click Refresh.

If you receive error IDCO0265 (The frame manufacturer, collection and model is required for doctor or lab supplied frames.) or IDCO0116 (Both "Left" and "Right" values required when pupil distance.) and you are unable to record a fee slip, follow the instructions below to resolve the issue and record the fee slip. These errors may be occurring because you accidently selected the Electronic Lab Order radio button while creating the order and so an electronic lab or VSP order was created that can now not be deleted or modified.

Error 70: Permission Denied with the VSP Interface

You may also receive Error 70: Permission Denied when you are attempting to obtain a VSP authorization from within OfficeMate. To resolve this error, complete the tasks below:

  • Ensure that your permission are set up properly using the attached related article below
  • Temporarily disable any anti-virus or other file protection software.
  • Locate and move the VSPSentlog file to a temporary folder; OfficeMate will recreate this file when attempting to obtain another authorization.

Eligible providers whose caseloads include at least 30% Medicaid patients are eligible to receive up to $64,000 over the course of five years. Eligible providers cannot obtain incentives from both Medicaid and Medicare, but eligible hospitals can. Eligible providers include optometrists in Alabama, Florida, Illinois, Kentucky, Ohio, and South Carolina, and ophthalmologists nationwide.

There is currently no easy way to break down encounters by insurance and by provider. A ticket has been opened to add a report to facilitate this in an upcoming version.

In the meantime, there is a workaround, but it’ll take a bit of work. Follow this detailed outline to determine the percentage of Medicaid encounters for each provider.

Abstract:

If you are receiving an error 91 message when you are trying to open the OfficeMate Suite, you are most likely either experiencing network issues or database issues.

If you are using OfficeMate 7.2 or above and you are receiving this error message when you close the Third Party Processing window before the insurance claims are finished processing or refreshing, you must ensure in the future that the Cancel button at the bottom of the window is available before you close the Third Party Processing window.

If you are receiving this error message on ALL workstations when you try to open the OfficeMate Suite, and you are using the OfficeMate Suite with a Microsoft Access (not Microsoft SQL) database, run the Repair Utility (see the linked article below for instructions on running the Repair Utility). Note: Do not run the Repair Utility if you are using a Microsoft SQL database.

If you are receiving this error message on one workstation ONLY when you try to open the OfficeMate Suite, ensure that your network drives are properly mapped. Review the "Mapping Network Drives" document at http://www.officemate.net/support_om_resources.aspx to remap your network drives or contact your network administrator for help.

If you are receiving this error message, "Object variable or with block not set," when attempting to export a lab order through the OfficeMate Lab Interface, then an eyewear order in OfficeMate has underlying conditions for both eyes set to No Lens or Balance Lens. To resolve this issue, first determine which lab order in the OfficeMate or OMATE32 DATA\Orders or DATA\Lab folder is causing the issue. To prepare for new HIPAA standards and the adoption of ICD-10 codes, the Department of Health and Human Services has adopted new standards for electronic claims in the ANSI 837 format

The compliance date for the ANSI 837 version 5010 was January 1, 2012. Insurance carriers and clearinghouses will accept the current ANSI 837 files through 2011. Note that the CMS enforcement discretion has been extended to June 30, 2012.

ANSI 837 is the file format that OfficeMate uses to send electronic claims to insurance carriers and clearinghouses (unless the user specifies a different format for a specific carrier or clearinghouse). Since OfficeMate creates the electronic claim files in the background, the change to the ANSI 837 format will go unnoticed by you and your staff and will not impact your daily operations. With the change to the ANSI 837 format, however, there are changes to the diagnosis (ICD) codes that will impact you and your staff. Refer to the related article, below, for information about the new ICD-10 codes.

Abstract:

If you have OfficeMate open in addition to an exam in ExmWRITER and also have the ExamDRAW program open, you may receive error 360 when you close OfficeMate using the "X" in the upper right corner of the window. This error will appear after all of the programs (OfficeMate, ExamWRITER, and ExamDRAW) close. Eyefinity is aware of this error in version 7.4 and is working to eliminate it in a future version.
