Updating the OfficeMate Contact Lens Database (Updated for March 2015!)

Abstract:

Use the Eyefinity Catalog Updater patch to update your OfficeMate soft contact lens and rigid gas permeable contact lens databases, identify the contact lenses that you prescribe, and enter prices for the contact lenses. By selecting only those lenses that you prescribe and entering pricing information, you can save countless hours of entering data into your OfficeMate database. Note that you can update contact lens prices later in OfficeMate, but it is a manual process.

We recommend using the Eyefinity Catalog Updater prior to upgrading to the latest version of Eyefinity EHR to ensure that the contact lenses in your OfficeMate and Eyefinity EHR databases are in sync. If you cannot run the Eyefinity Catalog Importer until after you upgrade Eyefinity EHR, though, that's okay; run the Eyefinity Catalog Importer when you are able to after upgrading Eyefinity EHR . If you are unable to run the Eyefinity Catalog Importer until after you upgrade Eyefinity EHR, be aware that until you run the Importer, some of your contact lenses in OfficeMate may not identically match your contact lenses in Eyefinity EHR if there are updates to them in the catalog.

Notes:

  • The Eyefinity Catalog Importer requires OfficeMate/ExamWRITER v11 or later. Note, though, that the new rigid gas permeable contact lens Rx data will not transfer from Eyefinity EHR to OfficeMate unless you are using v12 or later.
  • The Eyefinity Catalog Importer imports ALL ranges associated with ALL contact lenses. The large quantity of ranges and contact lenses imported may slow down OfficeMate and make searching for products more time

Optos Capture/Review Not Responding

Abstract:

If you are using the Optos equipment interface with ExamWRITER 11.1, 11.2, or 12.0.2, the Capture and Review programs may be unresponsive. You must exit Optos Capture/Reivew in order to return to an exam in ExamWRITER after capturing/reviewing images with Optos. You may be unable to have both Optos Capture/Review and ExamWRITER open at the same time.

To resolve this issue, perform the following steps:

  1. Ensure that you are using OfficeMate/ExamWRITER 12.0.
  2. Download the Optos.dll file [click here to download].
  3. If you are asked whether you want to open or save the file, click Save.
  4. Save the Optos.dll file to the OfficeMate Updates folder on your network. If you don't have an OfficeMate Updates folder, create one on your network where all your computers can access it.
  5. On each computer that you use the Optos equipment interface, perform the following steps:
    1. Close OfficeMate and ExamWRITER.
    2. Copy the Optos.dll file to the C:/OfficeMate or C:/OMATE32 folder.
    3. If you are asked if you want to replace the existing file, click Yes.
    4. Double-click the ~RegAllOME_DLLs.bat file located in the C:/OfficeMate or C:/OMATE32 folder
      The new Optos.dll is registered. You will now be able to launch the Optos Capture and Review programs from ExamWRITER.

The updated DLL will be included with a future version of OfficeMate/ExamWRITER.

Moving Your OfficeMate Database From One Server to Another Server

Abstract:

To move your OfficeMate Suite ACCESS database from one server to another server, follow the instructions below:

  1. Follow the instructions at http://www.officemate.net/omkb/Article.aspx?id=15565to turn off UAC off on all of your computers.
  2. On your current production server, disable sharing or disconnect the OMATE32\DATA folder to prevent users from accessing the OfficeMate Suite while you are moving the database from one server to another server.
  3. On your new productions server, install the same version of the OfficeMate Suite that is also on your current production server.
  4. On your new production server, open OfficeMate and verify that it opens without errors and verify that the version is the same as the version on your current production server.
  5. Copy the OMATE32\DATA folder on your current production server to your new production server.
  6. On your new production server, open OfficeMate, click Help, select About OfficeMate, and verify that your business name, database name, and data directory are correct.
  7. On your new production server, share the OMATE32\DATA folder as OMDATA.
  8. On your workstations, map the O drive to the new OMDATA shared folder.

Sales Tax Register Report Does Not Respond (OfficeMate 12.0.3)

Abstract:

Issue: The Sales Tax Register Report in OfficeMate 12.0.3 does not respond when you try to create it. Instead, the report freezes and is not created.

Resolution: Install the following updated DLL file.

  1. Download the updated DLL [click here to download] and save it to the OfficeMate Updates folder on your network. If you don’t have an OfficeMate Updates folder on your network, create one now.
  2. Close OfficeMate/ExamWRITER on all workstations (and the server, if OfficeMate/ExamWRITER is installed on the server also).
  3. On a computer with OfficeMate/ExamWRITER installed, navigate to your OfficeMate Updates folder on your network. If your download folder has a different name, navigate to that folder.
  4. Double-click OME_DailyTrans.exe.
    The Open File - Security Warning window opens.
  5. Click Run.
    The WinZip Self-Extractor window opens.
  6. Click Browse, if necessary, and navigate to and select the location of your OfficeMate or OMATE32 folder (often C:\OfficeMate or C:\OMATE32) and click OK.
  7. Click Unzip to install the files.
  8. Click OK after the file successfully unzips.
  9. Click Close to close the WinZip Self-Extractor window.
  10. Repeat steps 3-9 on all computers with OfficeMate/ExamWRITER installed (and the server, if OfficeMate/ExamWRITER is installed on the server also).

This issue will be fixed in OfficeMate 12.0.3 Service Pack 2.

Error 94 (Creating ANSI Claims with Authorizations for Gateway EDI in OfficeMate 12.0.3 SP1)

Abstract:

Issue: You receive error 94, "CreateExportFile," after clicking Create Claim Files in the OfficeMate 12.0.3 SP1 Third Party Processing window. This error occurs with Gateway EDI ANSI claim files.

Resolution: Install the following updated DLL file.

  1. Download the updated DLL [click here to download] and save it to the OfficeMate Updates folder on your network. If you don’t have an OfficeMate Updates folder on your network, create one now.
  2. Close OfficeMate/ExamWRITER on all workstations (and the server, if OfficeMate/ExamWRITER is installed on the server also).
  3. On a computer with OfficeMate/ExamWRITER installed, navigate to your OfficeMate Updates folder on your network. If your download folder has a different name, navigate to that folder.
  4. Double-click OME_CreateANSI5010File.exe.
    The Open File - Security Warning window opens.
  5. Click Run.
    The WinZip Self-Extractor window opens.

Deleting Appointment Scheduler Provider Exceptions

Abstract:

If you set up an Appointment Scheduler provider exception and you need to delete it in v9 or above, follow the instructions below:

  1. Click the Scheduler icon to open the Scheduler window in OfficeMate.
  2. Right-click on the provider exception in the Scheduler grid and select Delete.

If you set up an Appointment Scheduler provider exception and you need to delete it in v8 or below, follow the instructions below:

  1. Click the Scheduler icon to open the Appointment Scheduling window in OfficeMate.
  2. Click Setup (in the top right corner of the window).
  3. Click the Provider Exceptions tab.
  4. Select a provider from the Provider drop-down menu.
  5. Select the reason for the provider's exception in the Reason text box.
  6. Click Delete.
  7. Click Yes on the Exception Delete window.

Transferring Charges with ICD-9 Codes to Another Insurance Carrier Using ICD-10 Codes (OfficeMate 12)

Abstract: If you recorded charges with ICD-9 codes for one insurance carrier, but are now transferring the charges to a secondary insurance carrier who is now accepting ICD-10 codes, the ICD codes will be removed from the insurance claim. You must open the claim in the Third Party Processing window and add the ICD-10 codes (box 21) and associated diagnosis pointers (box 24E) before submitting it.

Error 94 (CMS Claims & Rx Orders)

Abstract:

If you receive error 94 while creating a CMS claim, perform the following steps:

  1. Note the fee slip number in the Third Party Processing window.
  2. Open the fee slip and note the insurance carrier on the fee slip line items.
  3. Open the Patient Demographic window and click the Insurance tab.
  4. Select the insurance name noted on the fee slip line items.
  5. Change the Relationship to Insured (Box 6) from whatever the current selection is to something else (for example, from Self to Parent) and then change it back to the original selection (for example, from Parent to Self).
  6. Click OK.
  7. Refresh the CMS claim in the Third Party Processing window.

If you receive error 94 while entering a new Rx order, perform the following steps:

  1. Close OfficeMate and ExamWRITER on all computers.
  2. If you are using the OfficeMate Suite with a Microsoft Access (not Microsoft SQL) database, run the Repair Utility and OM Integrity Utility, delete the patient's Rx order, and re-enter the Rx order. Refer to the related articles below for information on running these utilities.
  3. If you are using the OfficeMate Suite with a Microsoft SQL database, record the soft contact for the OD on one order (select No Lens for the OS) and record the hard contact on a separate order (select No Lens for the OD).

Alternatively, you can perform the following steps:

  1. Open the hard lens final Rx order in ExamWRITER.
  2. Click Update Order.
  3. Open the hard lens final Rx order in OfficeMate.

Reselecting & Reprocessing ExamWRITER Exam Selections & Templates

Abstract:

If you are upgrading ExamWRITER, then the information in the templates that you previously created will need to be reselected and reprocessed. Due to improvements that were made to the Quick Code functionality and menu selections throughout ExamWRITER (especially due to the new ICD-10 codes), you must open the exams that you copy forward and the templates that you previously created in ExamWRITER and reselect and reprocess all of the information in those exams so that the Quick Code window will display the correct coding levels for the exam and the exam selections will appear in the correct sections in the exam record. In version 12, information that need to be reselected will appear asbluetext. If you are experiencing issues editing existing templates in version 12 (for example, ICD-9 codes continue to appear in the template), call Eyefinity Customer Care at 1.800.942.5353 and request that a Customer Service Representative run a script on your system to resolve this error.

Note: If you click on an exam selection in ExamWRITER and you receive an "Obsolete Item" message, the exam selection was updated and moved to a different section in the exam record. Click OK to close the message. You must reselect the item in the exam record to avoid receiving "Obsolete Item" messages for that selection in the future.

Error 94 (Using ExamWRITER Templates After 10/1/15 in Version 12)

Abstract:

Issue: You receive error 94, "Invalid use of Null," in ExamWRITER when you attempt to use an old template to create a new exam after October 1, 2015. ExamWRITER then closes. When you reopen ExamWRITER, the exam is created, but locked.

Resolutions:

You can resolve this issue in one of the following ways:

  • Unlock the exam. See the attached related article for information on unlocking exams.
  • Reprocess the old template so that it contains updated information in it. Reselect any blue text that appears in the new template. See the attached article for more information about reprocessing templates.
  • Create a new template by copying information from an existing template to the new template and use the new template. Reselect any blue text that appears in the new template.

You can also call Eyefinity Customer Care at 1.800.942.5353 and request that a Customer Service Representative run a script on your system to resolve this error.

Transferring Charges with ICD-9 Codes and Dates of Service Prior to 10/1 (OfficeMate 12)

Issue: You are transferring charges with ICD-9 codes and a date of service prior to October 1, 2015, from one insurance carrier to another insurance carrier. The transferred charges should still be associated with ICD-9 codes due to the date of service; however, you receive a message that states that, "This insurance carrier is set up to use a different ICD version..."

Resolution: Download the OfficeMate Version 12 ICD-9/ICD-10 Fee Slip Hot Fix. See the attached related article for more information. You must already be using OfficeMate 12.0.3 SP2 before downloading this patch.

Alternatively, you can use the workaround below:

  1. Transfer the charges back to the original insurance carrier.
  2. Change the posting date in OfficeMate to a date prior to October 1, 2015.
  3. Transfer the balance back to the correct insurance carrier.

OfficeMate Version 12 ICD-9/ICD-10 Fee Slip Hot Fix

If you are using OfficeMate version 12 and are experiencing issues where you are unable to record ICD-9 codes on fee slips with dates of service on or before September 30, 2015, or you are unable to record ICD-10 codes on fee slips with dates of service on or after October 1, 2015, follow the instructions below to download and install a hot fix that resolves these issues.

Important Note: You must be using OfficeMate 12.0.3 SP2 in order to download and install this hot fix. If you have not already downloaded and installed this service pack, go to MyInstallCenter and download it before downloading and installing this hot fix.

  1. Ensure that you are using OfficeMate 12.0.3 SP2. If you are not already using this version and service pack, download it at MyInstallCenter.

Recording ICD-9 Codes on Fee Slips with Dates of Service Prior to 10/1 (OfficeMate 12)

Issue: You are recording fee slips with dates of service prior to October 1, 2015, and you need to record ICD-9 codes on them; however, you receive a message that states that, "Invalid ICD version code selected. Select a valid ICD version code and click Record to continue."

Resolution: Download the OfficeMate Version 12 ICD-9/ICD-10 Fee Slip Hot Fix. See the attached related article for more information. You must already be using OfficeMate 12.0.3 SP2 before downloading this patch.

Alternatively, you can change the posting date in OfficeMate as a workaround.

Pre-Recorded Fee Slip Won't Allow ICD-10 Codes To Be Recorded on it During Editing (OfficeMate 12)

Abstract:

Issue: You are an OfficeMate-only user who likes to pre-record fee slips for patients with the items for which you know the practice will charge. However, when you attempt to edit these pre-recorded fee slips with service dates on or after October 1, 2015, you are only able to add ICD-9 codes (and not ICD-10 codes) to the fee slip.

Resolution: Download the OfficeMate Version 12 ICD-9/ICD-10 Fee Slip Hot Fix. See the attached related article for more information. You must already be using OfficeMate 12.0.3 SP2 before downloading this patch.

Alternatively, you can use the workaround below:

  1. Open the patient's fee slip.
  2. Add charges and one ICD-10 code to the fee slips (it doesn't matter which ICD-10 code you add).
  3. Click Record.
  4. Reopen the patient's fee slip from the Patient Ledger to edit it.
    You can now delete the ICD-10 code that you added in step #2 and add the appropriate ICD-10 codes for the patient to the fee slip.

SaxComm Error in RDP Environment (Marco RT-5100 ExamWRITER Equipment Interface in Version 12)

Abstract:

Issue: While attempting to using the Marco RT-5100 ExamWRITER equipment interface in version 12 in an RDP environment, you receive a SaxComm error that states that the serial port specified is invalid.

Resolution:

  1. Right-click on the ExamWRITER icon on the computer's desktop.
  2. Select Properties.
  3. Change the text in the Target text box to C:\OfficeMate\LoginDotNet.exe ExamWRITER.
  4. Click Apply.
  5. Click OK.

IDCO0262: Lens style code both left and right tags are required (VSP Response)

If you receive an IDCO0262 error (Lens style code both left and right tags are required (VSP Response)) when you are billing a VSP eyewear order in the OfficeMate VSP Interface, you most likely have not properly mapped your lens styles. You can map lens styles to the products in the VSP Product Mapping window or the Products window (VSP Product tab). For more information on mapping, see the "Setting Up & Using the VSP Interface" chapter in the OfficeMate Administration User's Guide.

Reichert Phoropter Not Working (ExamWRITER Equipment Interface v11.2 and Above)

Issue: While using ExamWRITER 11.2 or above, you are unable to successfully integrate with the Reichert phoropter equipment interface. No .xml file is created after selecting to input autorefraction or presenting spectacle Rx information to ExamWRITER.

Resolution:

  1. Download the updated Reichert.dll file [click here to download].
  2. If you are asked whether you want to open or save the file, click Save.
  3. Save the Reichert.dll file to the OfficeMate Updates folder on your network. If you don't have an OfficeMate Updates folder, create one on your network where all your computers can access it.
  4. On each computer that you use the Reichert equipment interface, perform the following steps:
    1. Close OfficeMate and ExamWRITER.
    2. Copy the Reichert.dll file to the C:/OfficeMate or C:/OMATE32 folder.
    3. If you are asked if you want to replace the existing file, click Yes.

Benefit Estimation Call Failed or Order Pricing Error (OfficeMate VSP Interface v10.7, v11, and v11.1)

Abstract:

Issue in v10.7: If you are using the VSP Interface with OfficeMate v10.7, you will receive a "Benefit Estimation Call Failed!" message when you click the Price Order button on the Eyewear Order window.

Issue in v11 and v11.1: If you are using the VSP Interface with OfficeMate v11 or v11.1, you will receive an "Order Pricing Error" message when you click the VSP Estimator button on the Eyewear Order window.

Resolution: Due to updated back-end VSP systems, you must upgrade to the latest version of OfficeMate at MyInstallCenter to successfully receive order pricing information from VSP.

Finding the EHR Certification Number for OfficeMate/ExamWRITER

Abstract:

An EHR Certification Number is not required when you initially register for Medicare and Medicaid EHR Incentive Program, but is required when you reach the attestation stage. Here is how to find the EHR Certification Number for OfficeMate/ExamWRITER and any other components you are using to satisfy meaningful use:

  1. Go to the Certified Health IT Product List.
  2. Select Vendor Name from the drop-down menu.
  3. Type Eyefinity in the text box and click Search.
