Exporting an Outside Rx from Eyefinity EHR into OfficeMate (Update!)

Abstract:

To export an Rx from Eyefinity EHR and import it into OfficeMate, even if it is not attached to an exam, follow the instructions below and download an updated file that allows you to use this feature.

Note: You must be using OfficeMate 12.0 in order to download this updated file. If you are using OfficeMate 12.1 or above, you do not need to download this updated file, as it is already included in your version 12.1 files.

  1. Ensure that you are using OfficeMate/ExamWRITER 12.0.
  2. Download the updated EFSync MSI file [click here to download] and save it to the OfficeMate Updates folder on your network. If you don’t have an OfficeMate Updates folder on your network, create one now.
  3. Close OfficeMate/ExamWRITER on your server.
  4. On your server, navigate to your OfficeMate Updates folder on your network. If your download folder has a different name, navigate to that folder.
  5. Double-click EF.FAL.Integration.Installer.msi.exe.
    The Open File - Security Warning window opens.
  6. Click Run.
    The WinZip Self-Extractor window opens.
  7. Click Browse, if necessary, and navigate to and select the location of your OfficeMate or OMATE32 folder (often C:\OfficeMate or C:\OMATE32) and click OK.
  8. Click Unzip to install the file.
  9. Click OK after the file successfully unzips.
  10. Click Close to close the WinZip Self-Extractor window.

Humphrey Field Analyzer Equipment Interface Not Working After 12.0 Upgrade

Abstract:

Issue: The Humphrey Field Analyzer ExamWRITER equipment interface stops working after upgrading to ExamWRITER 12.0. The interface may send incorrect patient demographic (i.e., patient number) data to the equipment or may not recognize the correct patient number when sending files to ExamWRITER.

Resolution: Follow the instructions below to resolve the issue:

  1. Close OfficeMate/ExamWRITER.
  2. Download a new Humphrey.dll file at http://omjira.s3.amazonaws.com/JiraTxOM_3778/Humphrey.dll.
  3. Copy the new Humphrey.dll file into your OfficeMate or OMATE32 folder.
  4. Reopen OfficeMate/ExamWRITER.

This issue was resolved in ExamWRITER 12.0.3 SP4.

How do I record CLIA numbers and X4 qualifiers for lab tests in OfficeMate?

Abstract:

In OfficeMate 11.2 and below, you can record a CLIA number on a fee slip so that it populates box 23 on the CMS 1500 form, but you cannot populate an X4 qualifier in ANSI files. When you record a CLIA number, a G1 code populates in the ANSI file instead.

However, in OfficeMate 12.0.3 and above, you can record a CLIA number in box 23 on the CMS form and the X4 qualifier will populate in the ANSI file.

To record a CLIA number in OfficeMate 12.0.3 and above so that it populates box 23 on the CMS 1500 form and the X4 qualifier in the ANSI file, follow the instructions below:

  1. Open the Third Party Processing window in OfficeMate.
  2. Find and open the CMS 1500 form for the claim that needs a CLIA number.
  3. Click the Addl Info button at the top of the claim form.
  4. Select the CLIA radio button in the Prior Authorization (Box 23) box.
  5. Type the CLIA number in the Number text box.
  6. Click OK.
    The CLIA number appears in box 23 on the CMS 1500 form and the X4 qualifier will populate in the ANSI file.

Zeiss i.Profiler Error -2147012795

Abstract:

Issue: While using the Zeiss i.Profiler ExamWRITER equipment integration with version 12 on Windows 8 or 7, you receive a Zeiss DLL SOAPUpdatePatient Error, -2147012795, and cannot use the equipment interface with ExamWRITER.

Resolution: Download and install the updated Zeiss.dll file:

  1. Download the Zeiss.dll file [click here to download].
  2. If you are asked whether you want to open or save the file, click Save.
  3. Save the Zeiss.dll file to the OfficeMate Updates folder on your network. If you don't have an OfficeMate Updates folder, create one on your network where all your computers can access it.
  4. On each computer that you use the Zeiss i.Profiler interface, perform the following steps:
    1. Close OfficeMate and ExamWRITER.
    2. Copy the Zeiss.dll file to the C:/OfficeMate or C:/OMATE32 folder.
    3. If you are asked if you want to replace the existing file, click Yes.
    4. Double-click the ~RegAllOME_DLLs.bat file located in the C:/OfficeMate or C:/OMATE32 folder.
      The new Ziess.dll is registered. You will now be able to launch the Zeiss i.Profiler interface from ExamWRITER.

PQRS Workflow

Abstract:

The procedure for coding for each Physician Quality Reporting System (PQRS) measure varies, as each measure has different requirements. The following procedure explains the overall process of coding for PQRS measures:

  1. Before performing any exams that may be eligible to be included in your PQRS calculations, set up all necessary procedure codes, diagnosis codes, and modifiers in the Third Party Setup window.
  2. In OfficeMate Administration, enable PQRS autocoding.
  3. During an exam, record your observations, procedures, and diagnoses in the patient's exam record. If you set up PQRS autocoding, most or all eligible PQRS codes will automatically populate in the ExamWRITER Diagnosis/Procedure Coding window.
  4. If necessary, manually record any additional procedure and diagnosis codes in the Diagnosis/Procedure Coding window.
  5. If necessary, manually record any modifiers in the Diagnosis/Procedure Coding window, as ExamWRITER does not autocode modifiers.
  6. When it is time to report your PQRS data, submit your PQRS data to the CMS through your Medicare Part B claims or to a PQRS reporting registry.

OfficeMate Appts. Created Prior to Daylight Saving Time are Incorrect after Time Change (Eyefinity EHR)

Abstract:

Issue: OfficeMate appointments created during Daylight Saving time for dates that fall within Standard Time are off by one hour in the Eyefinity EHR Quick List. Appointment times in OfficeMate are correct and reminders sent to patients in OfficeMate are correct; however, appointments times are displaying incorrectly in Eyefinity EHR.

Resolution: Download and install the OfficeMate 12.0.3 SP4 update and then download and run the Appointment Updater Utility.

Correcting Future Appointments

To prevent appointments that you schedule in the future from displaying incorrectly, install the OfficeMate 12.0.3 SP4 update:

  1. Download 12.0.3 SP4 [click here to download] and save it to the OfficeMate Updates folder on your network. If you don’t have an OfficeMate Updates folder on your network, create one now.
  2. Close OfficeMate/ExamWRITER on every workstation.
  3. Ensure that each of your workstations is connected to the internet.
  4. On your server (or main computer), navigate to your OfficeMate Updates folder on your network. If your download folder has a different name, navigate to that folder.
  5. Double-click 12.0.3_SP4_Installer.exe.
    The installer opens and begins running.
  6. Select one of the following options, depending on how you use OfficeMate/ExamWRITER on this computer:

Zip Code is Not Saving/Correct in Secure Messaging Portal (Meaningful Use)

Abstract:

The Eyefinity Development team is aware that zip codes are not saving properly in the Secure Messaging Portal Setup window and they are displaying incorrectly in the patient portal. The provider's correct zip code will appear in the Secure Messaging Portal Setup window and you will be able to successfully modify this zip code, if necessary, in OfficeMate/ExamWRITER v11.2, which is being released in late Fall 2014.

If you are using OfficeMate/ExamWRITER v11.1.9, you can manually update the zip code at https://eyefinityew.com (Menu> Profile). Note, though, that if you log back into the Secure Messaging Portal Setup in Administration, the zip code will revert back to the incorrect zip code and you will again have to log into the portal to update it.

Resetting Staff/Provider Secure Messaging Portal Password (Meaningful Use)

Abstract:

If a staff member or provider has forgotten their provider portal password at https://eyefinityew.com, follow the instructions below to reset it:

  1. From within the provider portal at https://eyefinityew.com, click the Forgot password link above the Password text box.
  2. Enter the staff member or provider's Username and click Send New Password.
    Note: If the staff member or provider does not remember the username, ask the Secure Messaging Portal Admin who set up the Portal to verify the username within the provider portal by logging in, clicking Menu, clicking Admin, selecting Users, selecting the user with the forgotten username, and viewing the user's Username. Do not change the username, as it will adversely affect meaningful use counts!

Patient Did Not Receive Email with Username and Password (Secure Messaging - Meaningful Use)

Abstract:

When you send a patient a clinical summary for the first time, the patient receives an e-mail notification that the CDA or CCR was sent. If the patient does not receive an e-mail with their username and password to log into the patient portal, then the patient cannot view the clinical summary. Ask the patient to check his or her junk mail folder for the e-mail that contains their patient portal username and password. You can resend the patient their patient portal username and password by completing the instructions below:

  1. Log into the provider portal.
  2. Find the message sent to the patient in the Sent folder.
  3. Expand the message and click on the Patient's name, which is highlighted in blue, in the body of the message.
  4. Click the Patient Portal tab.
  5. Verify the patient's username.
  6. Click Reset Password.
  7. Click Yes, Continue This Operation.
  8. Ask the patient to check their e-mail account (including their junk mail folder) to retrieve their patient portal username and new password.

Eyefinity Secure Messaging Provider Portal v2.0

Abstract:

Eyefinity's secure messaging service is being upgraded from v1.0 to v2.0 on December 22, 2015. This new version resolves some issues that you may have experienced in v1.0 with your e-mail notifications and sent box. v2.0 has a redesigned user interface, but still functions essentially the same as v1.0. Here's an overview of the changes that you'll notice in v2.0:

  • The ability to filter messages has moved from the bottom of the page to the top right side of the page.
  • The top toolbar options (Actions, Tools, Portal) are condensed and rearranged in the new Menu on the top left side of the page.
  • The functions previously available under the gear icon on the top right side of the page are now under the Menu on the top left side of the page.
  • Analytics and usage information is now available under the Menu (Tools).
  • A new System folder allows you to view non-vital system-generated messages, such as portal password resets, general error notifications, and portal timeouts.
  • The Compose, Address Book, and Refresh icons now display those titles in Google Chrome.
  • Online help is available by clicking the ? (question mark) on the top right side of the page.

Resubmitting Gateway Secondary Claims

Abstract:

In order to resubmit secondary claims through Gateway, you must be signed up for the electronic remittance and auto-secondary product features on Gateway’s Web site. To sign up for these features, or for further information, contact Gateway EDI customer service at 800.556.2231.

Notes:

  • Replacement claims for corrected claims must include a 7 as the resubmission code in box 22/Loop 2300, Segment CLM05-3.
  • Replacement claims for voided claims must include a 8 as the resubmission code in box 22/Loop 2300, Segment CLM05-3.
  • If an F8 qualifier is required in the original ref. no. segment, claims must include a 7 or 8 (see above) in box 22 (only works in OfficeMate v9 and above).

Depending on your situation, follow the instructions below to remove the "This copy of OfficeMate (or ExamWRITER) is a 90 day evaluation and will expire on DD/MM/YYY" message."

Update your User Account Control (UAC) settings to allow access to your database and ensure that your database is properly mapped.

Error 13

Abstract:

If you receive error 13 while trying to print a contact lens Rx order for a patient, ensure that the underlying conditions (if applicable) are recorded properly and that the lens name information is recorded properly. If, after ensuring that this information is properly recorded, you continue to receive error 13, you might be experiencing database issues. If this is the case, call Customer Care at 1.800.942.5353.

If you receive error 13 while clicking the Order/Of arrow buttons in an Rx window to view previous orders and while using OfficeMate with a SQL database, close the error message and OfficeMate, and then reopen OfficeMate. In order to prevent this error message from occurring, record the Rx before clicking the Order/Of arrow buttons to view previous Rx orders. Eyefinity is aware of this error message and is working to resolve it in a future version of OfficeMate.

If you receive error 13 while creating third party processing claims, ensure that you do not have different providers selected on multiple lines on the fee slip. If you do have different providers selected, open the fee slip and select the same provider from the Provider drop-down menu on each line.

If you receive error 13, "Type Mismatch on procedure: Fun_CreateHCFA," while attempting to view a CMS 1500 form on the Fee Slip window and the patient is using an insurance authorization, open the patient's Demographic window, click the Insurance tab, select the insurance plan that is on the CMS 1500 form, click Eligibility/Authorization, and ensure that each authorization contains an expiration date. Then, open the fee slip again, remove the insurance plan from the fee slip and reselect it, and re-record the fee slip. If you receive error 13 while attempting to view a CMS 1500 form on the Fee Slip window and the patient is not using an insurance authorizati

Tablet PC Specifications

Abstract:

The hardware and software specifications for tablet PCs are the same as desktop PCs (see related link below for complete system specifications).

Notes:

  • Our software requires a minimum screen resolution of 1280 × 1024 (i.e., 1280 pixels wide by 1024 pixels high). This screen resolution requirement may require that you use your tablet PC in landscape mode rather than in portrait mode, meaning the screen is wider than it is tall.
  • Virtual keyboards are not supported and do not work with OfficeMate/ExamWRITER.
  • Eyefinity highly recommends selecting the solid slate drive (SSD) option when purchasing your tablet PCs. Solid slate drives offer faster data access, consume less power, and are less susceptible bumps and shocks than traditional hard drives.
  • Eyefinity highly recommends employing a Microsoft certified MCSE hardware and network technician with wireless experience to install and manage your wireless network.

How do I update the quantity on hand for my frame inventory?

Abstract:

To update the quantity on hand for your frame inventory, follow the instructions below:

  1. Click the Products icon, select Inventory, and select Adjustments.
  2. Select an adjustment type from the Adjustment Type drop-down menu.
    Note: The Adjustment adjustment type allows you to enter a positive or negative adjustment amount. The Receive Inventory adjustment type allows you to type a positive number to increase your inventory. The Return to Vendor adjustment type allows you to type a negative number and decrease your inventory.
  3. Type or select a date from the Adjustment Date box.
  4. Select the staff member recording the adjustment from the Recorded By drop-down menu.
  5. Type comments in the Comment text box, if applicable.
  6. Click on the Product Name/Code column heading to search for and select the frame for which you want to update the quantity on hand. The product will display in the Inventory Adjustment window with the current quantity on hand and product cost.
  7. Type the quantity of the adjustment in the Adj Qty column.
  8. Select an adjustment reason from the Reason drop-down menu.
  9. Repeat steps 6-9 for any other products that need to be adjusted.
  10. Click Record.

Notes:

  • Once you have entered a product, you cannot change the quantity on hand from the products window. You must follow the instructions above to adjust your quantity on hand.
  • If you are using OfficeMate version 10.5.23 - 10.7, the quantity on hand will not update when you receive inventory in OfficeMate Administration. To resolve the issue, upgrade to the latest version of Offic

Unable to determine if your system needs the installation prerequisites OR Unable to find c:\windows\installprereqsdata.dat

Abstract:

If you receive this error message, you will need to switch the Terminal Server to Install mode before running the OfficeMate Server and OfficeMate Suite installers to ensure that the files are saved to the correct location. The installer requires that the prerequisites.dat file be located in the C:\WINDOWS directory. If you do not change the server to install mode, the file is placed into C:\USER and inside the user’s WINDOWS directory instead of C:\WINDOWS.

Note: This error message most often occurs on Windows Server 2008 64-bit and Windows 7 64-bit Terminal Servers that was not placed in Install mode, although it can also occur on non-Terminal Servers.

To resolve this error message, follow the instructions below:

  1. Verify that the User Account Control (UAC) is off and set to Never Notify (see the attached related article with instructions below) and that the user is logged into the server as an administrator.
  2. Click Start, and then click Run. The Run window opens.
  3. In the Open text box, type cmd, and then click OK.
  4. At the command prompt, type change user /install, and then press Enter. The “User session is ready to install applications” message appears.
  5. Type exit, and then press Enter.
  6. Install the OfficeMate/ExamWRITER upgrade. When you have completed the installation, perform these steps to return the Terminal Server to Execute mode:
