Scanners to Use with the OfficeMate/ExamWRITER eDocuments Feature

Abstract:

Eyefinity does not recommend a specific scanner brand or model.

Although Eyefinity does not recommend a specific scanner brand or model (you can use any scanner that can create an electronic document with the OfficeMate and ExamWRITER eDocuments feature), clients have reported good results to us while they used the scanners listed below.

Note1: Eyefinity does not support your hardware and highly suggests consulting your hardware technician before purchasing a scanner to use with your computer. We do not endorse or recommend a specific scanner to use with your computer system. For installation, support, and troubleshooting issues related to your scanner, contact the scanner’s manufacturer.

Note2: If you are using the eDocuments scan feature where you are scanning documents directly into OfficeMate or ExamWRITER and saving them as eDocuments, you must be using a scanner that supports the TWAIN interface standard.

If you receive this error message, download, unzip, and register the updated Marco.dll file at www.officemate.net/dwnld/Marco.zip so that you no longer receive this error message.

Manifest and Final Rx Data Does Not Populate in ExamWRITER When Using Marco Connect 8.2.0.3

If you are using the Marco Connect software version 8.2.0.3 with the Marco ExamWRITER Equipment Interface, the manifest and final Rx data in the Marco equipment will not transfer to ExamWRITER. Eyefinity is aware of this issue and is working to resolve it in a future version. Until then, instead of using the Marco Connect software, you can use the direct serial port interface from the equipment to the computer on which ExamWRITER is installed. Diagnosis codes are not updated yearly in OfficeMate and ExamWRITER because the code list is very long and many clients do not need all of the new codes every year; however, in OfficeMate and ExamWRITER v7, the most recent diagnosis codes were imported into your current list of diagnosis codes in the Customization window. None of your current diagnosis codes were overwritten; only new codes were added. If you need to add or update diagnosis codes manually, follow the instructions below:

Unable to Modify an Existing Rx Order in OfficeMate

Abstract:

If you are unable to modify an existing Rx order in OfficeMate because you have recorded a return on the order's fee slip, follow the instructions below:

  1. Open the Rx Order window.
  2. Find and select the Rx order.
  3. Click the Canceled radio button at the bottom of the window.
  4. Delete the name and date in the Name and Date drop-down menus at the bottom of the window.
  5. Click the red X in the upper right corner of the Rx Order window.
  6. Click Yes to save your changes.
  7. Click No on the Invalid Data window.

Humphrey Matrix Interface Slow to Search

Abstract:

If you are using the Humphrey Matrix interface with ExamWRITER, the interface may perform slowly when searching for patients and reviewing images. If the Humphrey Matrix interface is performing slowly in your practice, follow the instructions below to download a patch to resolve the issue.

Note: You must be running OfficeMate/ExamWRITER 10.6 before installing the Humphrey 10.6 Patch. If you are running an earlier version of OfficeMate/ExamWRITER, you must install version 10.6 before proceeding. For more information, go to myinstallcenter.officemate.net.

Download and install the Humphrey 10.6 Patch on each computer connected to the Humphrey equipment.

  1. Download the Humphrey 10.6 Patch from http://oss.ome.s3.amazonaws.com/OT35120.exe and save the file to the OfficeMate Updates folder on your network. If your download folder has a different name, navigate to that folder.
  2. Close OfficeMate and ExamWRITER on every computer.
  3. On a computer connected to the Humphrey equipment, navigate to the OfficeMate Updates folder on your network.
  4. Double-click OT35120.exe.
    The Open File - Security Warning window opens.
  5. Click Run.
    The WinZip Self-Extractor window opens.
  6. Click Browse, if necessary, and navigate to and select the location of your OMATE32 or OfficeMate folder (often C:\OMATE32 or C:\OfficeMate) and click OK.
  7. Click Unzip to install the files.
  8. Click OK after the file successfully unzips.
  9. Click Close to close the WinZip Self-Extractor window.
  10. Repeat steps 3–9 on each computer connected to the Humphrey equipment.

ExamWRITER Menu Changes for Diabetic Impressions

Abstract:

This patch is an elective update to the ExamWRITER 10.5 and 10.6 menu options on the Impression/Systemic window. The patch changes the following menu items:

  • Changes the following Diabetes Suspect items:
    • Type 1 changed to Type I, Controlled
    • Type 2 changed to Type II, Controlled
  • Adds the following items to Diabetes Suspect items:
    • Type I, Uncontrolled
    • Type II, Uncontrolled
  • Removes the following items:
    • Allergies
    • Eczema

If you are using ExamWRITER 10.5 or 10.6 and you would like to implement these menu changes, perform the following steps to download and install the patch.

  1. Download the patch from http://oss.ome.s3.amazonaws.com/OT36721.exe and save the file to the OfficeMate Updates folder on your network. If your download folder has a different name, navigate to that folder.
  2. Close OfficeMate and ExamWRITER on every computer.

Patients with Open Balances

If the patient has an open balance, perform the following steps:

  1. Export a PDF of the patient's itemized statement in the Reports and Statements window.
  2. Email the PDF to the patient using your email client (e.g., Outlook, Gmail).

Since OfficeMate does not currently export receipts to PDF natively, you will need to install a PDF printer (see "Installing a PDF Printer" below).

If you are sending the receipt when you record the fee slip, perform the following steps:

  1. Click Record.
  2. Click Printer Setup.
  3. Select the PDF printer and click OK.
  4. Click Print and save the PDF.
  5. Email the PDF to the patient using your email client (e.g., Outlook, Gmail).

If you are sending the receipt after the fee slip has been recorded, you will need to set the PDF printer as the default printer in the Windows Control Panel. You might consider setting the PDF printer as the default on a computer that you don't use to print very often, so you don't have to constantly switch your default printer between the PDF and the physical printer. Once the PDF printer is set as the default, perform the following steps:

  1. Open the Patient Ledger window and search for the patient.
  2. Select the fee slip that you want to send the patient.
  3. Click Print and save the PDF.
  4. Email the PDF to the patient using your email client (e.g., Outlook, Gmail).

The Marco, Topcon, Huvitz, Eagle Eye, Reichert, and Humphrey ExamWRITER equipment interfaces save equipment data to the ExamWRITER database, which then can be accessed by all computers networked to look at that database.

Kowa, Optos, EyeScape, EyeTel, Heidelberg/HRT, Talia, ReSeeVit, Woodlyn, Konan, NIDEK, and Zeiss VISUPAC ExamWRITER interfaces save equipment data to the equipment's specific database and ExamWRITER reads those databases through the mapped drives.

All of the equipment data from the equipment interfaces, except the Humphrey Matrix, can be shared and accessed at multiple computers, as long as the computers are networked properly and the databases are properly mapped and shared. How do I change a patient's secondary insurance to be his primary insurance and vice versa?

Abstract:

In OfficeMate v9 and above, highlight the insurance plan in the table at the top of the Patient Demographic window (Insurance tab) and click the up and down arrows on the right side of the table to move the insurance plan up or down the table. The patient's primary insurance should be in the first row, the secondary insurance should be in the second row, etc. To mark an insurance plan as being inactive, select it and then select the Deactivate check box.

In OfficeMate v8 and below, you must delete the insurance that you want to change and then re-select the insurance information in the appropriate (primary or secondary) location in the Patient Demographic window (Insurance tab). You are not able to mark an insurance plan as being inactive.

No ID for Command (Woodlyn ExamWRITER Equipment Interface)

If you are using the Woodlyn ExamWRITER Equipment Interface and you select to review the images and receive a "No ID for Command Select" error or if there is no Woodlyn icon under the Images, Drawings, and Graphics category bar in ExamWRITER, follow the instructions below to resolve the issue:

  1. Download the updated Woodlyn.dll file at http://www.officemate.net/dwnld/EW/Woodlyn.zip.
  2. Unzip the file.

Abstract:You can use the Do Not Print Utility to remove the "Do not print on patient statement" flag on fee slips to allow statements and aging reports to print correctly. To use this utility, follow the instructions below:
  1. Close OfficeMate and all other applications on all computers. Note that because you must close all OfficeMate programs before running this utility, we recommend running the utility during nonbusiness hours.
  2. Back up your data!
  3. If you do not have an OMATE32/Utilities folder (for OfficeMate) or OfficeMate/Utilities folder (for OfficeMate Enterprise) folder on your computer, read the related article below for instructions on on how to download the utilities.
  4. Navigate to your OMATE32/Utilities folder (for OfficeMate) or OfficeMate/Utilities folder (for OfficeMate Enterprise).
  5. Double-click Donotprt3.exe.
  6. Select the Search Fee Slip Items radio button.
  7. Click Search Data.
  8. Complete one of the following actions:
    --Note the fee slip number and then edit the fee slip or adjustment in OfficeMate or OfficeMate Enterprise.
    --Click Remove Checked Items to delete the checkmarks from currently checked boxes.
  9. Select the Search Fee Slip Transactions radio button.
  10. Click Search Data.
  11. Complete one of the following actions:

Abstract:

No, OfficeMate/ExamWRITER does not currently have a feature by which you can send instant messages or e-mails over your network, for example from your examination room to your staff at the front desk. There are, however, many third-party products that can provide this function for you.

You can post general notices for your staff using the internal bulletin feature:

  1. In OfficeMate Administration, click Tasks.
  2. Select Internal Bulletin.
    The Internal Bulletin window opens.
  3. Click Add to create a new bulletin.
  4. Type or select an end date for the notice in the Expiration Date field.
  5. Type a brief message in the Notes text box.
  6. Click Browse to select a document to attach.
  7. Click OK to stave your bulletin.
