Error 380 (Lens Product Loader)

Abstract:

If you receive error 380 (Form Name: frmChangedProducts; Procedure: Fun_UpdateDiscontinuedProducts) while attempting to discontinue ophthalmic lenses in the Lens Product Loader, deactivate the lenses instead from the Products window (Product Details tab).

How do you handle sending frames from an office to the lab if you are using the Lab Interface with a lab management system?

Abstract:

The way you remove frames from inventory and ship them to a lab depends on how your inventory is set up, but you can configure OfficeMate inventory management to create a transfer to the lab.

If the store location supplies the frame, you can create an inventory transfer and send that with the frame. You can also wrap the frames in the lab order printout so that the lab can quickly identify the job that goes with the frames. You can configure OfficeMate to deduct the frames from the store location inventory and add them to the DC/Lab (if this is how your practice operates).

If you are using the Lab Interface, is it possible to record a fee slip without sending a lab order?

Abstract:

Yes, you can create and record a fee slip without sending a lab order. To do this, create a lab status such as On Hold at Office or something meaningful that will let your staff know that the lab order is not ready to be sent yet. When you create the lab order, select this new status from the Status drop-down menu. You can then create and record the fee slip. Once you are ready to send the lab order, open the order, select Ready to Transmit (or the status that you assigned as the trigger status) from the Status drop-down menu, and then record the order.

If you have upgraded to a newer version of ExamWRITER and would like to use some or all of the new templates available with the version, follow the instructions below to download and use the Update ExamWRITER Templates Utility. You only need to run this utility once on one computer running ExamWRITER for your changes to take effect.

Note: If you are a new ExamWRITER user, these templates are available to you already and you do not need to run this utility. This utility should only be used if you are upgrading to ExamWRITER v10, v9, v8, or Enterprise 2.0 or 1.0.

Abstract: In ExamWRITER 6.4 and below, you cannot add or modify special instructions to your final spectacle Rx before you print it; however, in version 7.0 and above you can type special instructions in the Special Instructions to Lab text box in the Rx window and you are also able to type Rx notes in the Rx Notes text box in the Rx window. Text that you type into the Rx Notes text box will print on the final Rx.

Abstract:

The following reports are available to you in the Reports & Statements window in OfficeMate that display information all of your ophthalmic lenses, contact lenses, frames, and services:

  • Contact Lens Listing
  • Frame Listing
  • Inactive Frames Lists
  • Ophthalmic Lens Listing
  • Other Product Listing
  • Service Listing

To print these reports in OfficeMate 10.0 and later:

  1. Click the Reports icon in OfficeMate.
  2. Click the On Demand tab.
  3. Select the Listing report that you want to print.
    Note: If the reports are not visible, click Add, select the reports to add, and click Select to add them to the On Demand tab.
  4. Click Preview.
    The OfficeMate Custom Inventory Reports window opens.
  5. Choose the appropriate criteria from the Data Selection and Report Grouping groups.
  6. Click Process.

To print these reports in OfficeMate 9.5 and earlier:

  1. Click the Reports icon in OfficeMate.
  2. Click the On Demand tab.
  3. Select the Listing reports that you want to print.
    Note: If the reports are not visible, click Add, select the reports to add, and click Select to add them to the On Demand tab.
  4. Choose appropriate selection criteria and sort order options on the right side of the window.
  5. Click Print and follow the on-screen prompts to print the reports.

Why is CPT II code 2021F not autopopulating for meaningful use or PQRS?

Abstract:

If CPT II code 2021F is not autocoding, first check to make sure that you have enabled PQRS autocoding. If you enable PQRS autocoding, all PQRS-applicable diagnoses and procedures appear in green text in the exam windows.

If CPT II code 2021F is still not autocoding, follow the instructions below:

  1. In a patient's exam, click the Exam - Special Tests tab.
  2. Click the Examination category bar.
  3. Select the Retina - Vascular check box and click Process.
  4. Select the RETINAL VASCULAR DISORDERS and Impression check boxes.
  5. In the RETINAL VASCULAR window, select one of the following check boxes to indicate that you documented the macular edema:
  • Macular edema WNL
  • Edema
  • Macular elevation
  • In the IMPRESSION/RETINA - VASCULAR window, document diabetes and retinopathy. You must select a severity for the observation you recorded. Possible selections include, but are not limited to, the following:
    • Severity, Mild
    • Moderate
    • Severe
  • Open the Diagnosis/Procedure Coding window to check if the codes are now autocoding.
  • Note: In order for CPT II code 2021F to autocode, you must document the presence/absence of macular edema and the severity of the condition. If you do not record macular edema or the severity, then you must manually record CPT II code 2021F.


    How do I record PD values for single vision lens orders I send through the OfficeMate Lab Interface?

    Abstract:

    If you are sending an eyewear order for single vision lenses through the OfficeMate Lab Interface, the usage you select on the lab order determines which PD values are used by the lab:

    • Reading Single Vision: Only the near PD values are sent to the lab.
    • Distance Single Vision: Only the distance PD values are sent to the lab.
    • No usage selected: You will need to edit the PD values according to how the Rx is going to be dispensed. If the Rx is for reading, the distance PDs (for mono and binocular) should be zero. Likewise, if the Rx is for distance, the near PDs should be zero. The Lab Interface will switch the near and distance PD values depending on how the PDs were entered so the lab will receive the correct PD values. Eyefinity recommends this method if you send some orders through the Lab Interface, and others through the VSP interface, since the usage selected does not change the PD values on VSP orders.

    Note: The Rx values for Add power and Seg Ht remain unchanged, regardless of the usage selected. The Rx should always be entered as the lab should receive it.

    Why don’t all the lens mapping selections show in the Lab Interface Lab Product Mapping utility when they appear in Innovations?

    Abstract:

    If you are using the OfficeMate Lab Interface with Innovations, the lens mapping data must be updated in the Lens Product Mapping utility database so that the same selections in Innovation are available in the Lens Product Mapping utility. As new lens data is added into Innovations, the data must be synchronized between the two systems. Complete the following procedure after each time you add or update lenses in OfficeMate:

    1. Navigate to the Innovations outgoing folder, which may be similar to the following: C:\Users\Public\Public Documents\Occuco\Innovations\Outgoing.
    2. Delete the lens.val file. You can also rename the file instead to something similar to lens_1.val, just in case you need to revert to the previous file.
    3. Go into the Settings Navigator in Innovations.
    4. Select Lens Database.
    5. Right-click and select Export Validation Files.
      This will create the lens.val file in the following folder: C:\Users\Public\Public Documents\Occuco\Innovations\Outgoing.
    6. Copy the lens.val file from C:\Users\Public\Public Documents\Occuco\Innovations\Outgoing into the following folder: C:\OFFICEMATE\DATA\Setup Data\Innovations. If needed, overwrite the previous lens.val file.
    7. Open the Lab Product Mapping utility and click the Lab Data Loader tab.
    8. Select Innovations from the Lab System drop-down menu.
    9. Click the Load Tree button.
      A message displays, informing you that the Tree data has been loaded.
    10. Click OK.
    11. Close the Lab Data Loader window.
    12. Map the lenses per your usual process. The selections available in Innovations are now available in the Lab Product Mapping utility.

    How do I record the CLIA number for a lab test on a fee slip in OfficeMate?

    Abstract:

    OfficeMate currently does not include CLIA numbers (X4 qualifiers) in its database of procedure codes. However, Eyefinity does plan to include the CLIA numbers in a future release. If you need to bill a CLIA number, Gateway EDI may be able to write a rule to allow the number to be billed. Otherwise, you can follow the instructions below to add the CLIA number to a fee slip in OfficeMate:

    1. From OfficeMate, open a fee slip.
    2. Post the charges to the fee slip.
    3. Select the patient's insurance from the Insurance drop-down menu.
    4. Click the Auth/CoPay button.
    5. Select Medicare from the drop-down menu.
    6. Click New.
    7. Type the authorization number of the CLIA in the Authorization ID text box.
    8. Select the Services check box and select the correct expiration date.
    9. Click Save and Exit.
    10. On the fee slip, click Record.
    11. Check your CMS 1500 Form, as the CLIA number will now appear on the form.

    If I close an exam without finalizing it, is the exam counted toward meaningful use calculations?

    You may receive Error 70: Permission Denied when, in a patient's record in ExamWRITER, you open the Images, Drawings, and Graphics category and attempt to open an image from the ECR Vault.

    Error 70: Permission Denied with the VSP Interface

    You may also receive Error 70: Permission Denied when you are attempting to obtain a VSP authorization from within OfficeMate. To resolve this error, complete the tasks below:

    • Ensure that your permission are set up properly using the attached related article below
    • Temporarily disable any anti-virus or other file protection software.
    • Locate and move the VSPSentlog file to a temporary folder; OfficeMate will recreate this file when attempting to obtain another authorization.

    Error 70: Permission Denied when Copying Products

    You may also receive Error 70: Permission Denied when you are copying a product in OfficeMate/ExamWRITER that has a patient fee and you are logged on as a Terminal Server user. To resolve this error, complete the tasks below:

    • Allow users to change the system time (Open the Group Policy Editor>Computer Configuration>Windows Setting>Local Policies>User Rights Assignment>Add users to Policy to "Change the system time.")

    • Remove the patient fees from the product.

    Abstract:

    The following information from CMS will help you meet CMS quality reporting measure NQF 0038 - Childhood Immunization Status. This article lists all of the codes for the denominator, numerator, and exclusions metrics for NQF 0038. Note that you do not need to request copies of patients' immunizations records and send them to CMS when you are attesting to meaningful use.

    NQF 0038: The percentage of children 2 years of age who had four diphtheria, tetanus and acellular pertussis (DTaP); three polio (IPV); one measles, mumps and rubella (MMR); two H influenza type B (HiB); three hepatitis B (Hep B), one chicken pox (VZV); four pneumococcal conjugate (PCV); two hepatitis A (Hep A); two or three rotavirus (RV); and two influenza (flu) vaccines by their second birthday. The measure calculates a rate for each vaccine and two separate combination rates.
